Why a rental car changes a conference week in Jakarta

Your hotel is rarely walking distance from any of them, and the gap between "ten minutes away on a map" and "forty minutes away at 8am" is the defining feature of moving around this city.

Ride-hailing covers a single trip well. It covers an event week badly. The moment a hall of several thousand people empties at once, every app in the area surges and the pickup point becomes a queue. A rental car parked in the venue's own structure is simply there when you walk out.

Match the vehicle to what you are carrying

Be honest about your cargo before you pick a category. A speaker with a laptop bag needs nothing more than a compact car. A team bringing pull-up banners, a sample case, and boxes of printed material needs an MPV with seats that actually fold flat — a sedan boot will swallow far less than people assume, and rolled banners are longer than they look.

If you are moving a delegation of five or six plus luggage, one larger MPV usually beats two small cars: one driver, one parking space, one set of instructions, and nobody arrives at the wrong gate.

Self-drive or driver-included

Worth saying plainly, especially if you are arriving from Bali or from abroad: Jakarta's self-drive rental market is smaller than Bali's, and a large share of the city's fleet leans toward driver-included rentals. Self-drive is available and worth asking for, but the selection is narrower.

For event work in particular, driver-included often wins on practicality rather than luxury. The practical takeaway for a rental: ask the agency for the vehicle's plate number before you confirm, then check the current rules for the days you will actually be driving. If the parity works against you on a key day, a driver-included booking or a different vehicle solves it — but only if you find out in advance rather than at a checkpoint.

Book the whole event window at once

Availability tightens around large exhibitions, and so does hotel supply nearby. Booking the full run of days in one go keeps you in the same vehicle with one set of terms, instead of renegotiating each morning and hoping the same category is still free.

Add a buffer day at each end if you can. Load-in and load-out are almost always messier and longer than the agenda suggests.

Paperwork companies actually need

If the rental is going through a company, sort this out before booking rather than after:

• Can the agency issue a proper tax invoice in the company's name?
• Can more than one driver be named on the agreement? An unnamed driver at the wheel is the fastest way to void an insurance claim.
• What is the insurance excess, and who pays it?
• Is billing due up front, or can it be invoiced?

Tolls, fuel, and arrival logistics

Indonesian toll gates are cashless, so the car needs a working e-money card — ask whether one comes with the vehicle and whether it has a balance. Confirm the fuel policy in writing too, and photograph the gauge at pickup.

At the venue itself, arrive before the first session rather than with it, note the level and section where you parked, and find out whether the exhibition halls and the ballrooms use different gates. They often do, and the walk between them with a box in each hand is longer than it looks.
